Refund & Cancellation Policy

1. Overview

This Refund & Cancellation Policy explains the terms under which a customer may cancel a booking with Unitech AC Pvt Ltd ("Unitech AC", "we", "us", "our") and the circumstances in which a refund is applicable. It must be read together with our Terms & Conditions.

2. Cancellation by the customer

You may cancel a confirmed service or repair booking by calling us at +91 90000 25785 or messaging us on WhatsApp. The cancellation charges, if any, depend on when the cancellation is requested:

When you cancel	Charge
More than 2 hours before the scheduled slot	No charge
Within 2 hours of the scheduled slot	₹100 booking-cover fee
After the engineer has been dispatched / arrived	₹200 visit fee (waived if you rebook within 7 days)
After diagnosis is complete (you choose not to proceed)	₹200 diagnostic fee

3. Cancellation by Unitech AC

We may cancel or re-schedule a visit due to severe weather, civil unrest, vehicle breakdown, engineer illness or any reason beyond our reasonable control. In such cases we will:

• Inform you at the earliest by telephone or WhatsApp;
• Offer an alternate slot at no additional cost;
• Refund any advance paid in full, if you choose not to take an alternate slot.

4. Refund eligibility

A refund will be processed in the following situations:

• Advance payment received but the booking is cancelled by Unitech AC and the customer chooses not to take an alternate slot.
• Service paid for in advance but, on arrival, found to be technically infeasible (e.g. the part is no longer manufactured and no equivalent is available).
• Duplicate payment or over-charging on a single invoice.
• Service performed was demonstrably defective and could not be rectified by us under the 6-month service warranty.

5. AMC cancellation & refund

Annual Maintenance Contracts (AMC) may be cancelled by either party with thirty (30) days written notice. The refund, if any, is calculated as follows:

• Within 30 days of AMC start, before any service visit: 100% refund.
• After one or more service visits performed: a pro-rata refund of the unused portion, less the standard rate-card price of services already availed.
• Cancellation due to property sale / relocation outside our service area: pro-rata refund, no deduction beyond services rendered.

6. Installation deposits

For new AC installations, we may collect an advance to cover the cost of materials (copper, brackets, insulation) procured specifically for your job. Once materials are procured, the materials portion of the advance is non-refundable, but the labour portion remains refundable up to 24 hours before the scheduled installation date.

7. Commercial & VRF projects

For VRF, ductable and other commercial-scale projects, refund and cancellation terms are governed by the specific contract or Purchase Order signed by both parties. Generally:

• Site-survey fees, design fees and procurement deposits are non-refundable once incurred.
• Labour deposits may be refunded subject to milestones agreed in the PO.
• Equipment ordered against the project is governed by the supplier's return policy.

8. Refund process & timeline

To request a refund, please email sales@unitechac.com with the subject line "Refund Request — <invoice number>" and attach a copy of your invoice or payment proof.

Once a refund is approved, it will be initiated within three (3) working days. Depending on your bank or payment provider, the credit may take an additional 5–7 working days to reflect.

9. Non-refundable items

• Gas, refrigerant or chemicals already loaded into the unit;
• Custom-fabricated brackets, copper or insulation cut to your site;
• Site-visit fees where the customer was not present at the agreed slot;
• Third-party-charges already paid (society charges, crane rental, etc.).

10. Disputes

If you are not satisfied with the resolution of a refund request, please escalate to sales@unitechac.com marking the email "Escalation". Disputes that cannot be resolved through written communication shall be subject to the exclusive jurisdiction of the courts at Hyderabad, Telangana.
